Canterbury Hurlstone Park RSL Sub Branch DRAFT RULES

These rules are for the Guidance of Operations of the Canterbury Hurlstone Park RSL (CHPRSL) Sub Branch and are to be read in conjunction with the Constitution and SOPs of the Returned and Services League – New South Wales
1. TIME & PLACE OF MEETINGS
1.1 Committee Meetings
The meeting of the CHPRSL Sub Branch shall be held on the 2nd Tuesday of the month commencing at 3pm.
1.2 Member’s Meetings
The meeting shall be held quarterly on a Sunday at dates to be confirmed by the Executive Committee starting at 11:30am. This will be advertised via the Annual Events Calendar issued at the beginning of each year.
1.3 Annual General Meeting (AGM)
The AGM will be held on the second Sunday of March starting at 11:30am. The Secretary will distribute the Agenda, Minutes of previous meeting no later than 30 days prior to the meeting. The Treasurer will distribute the Statement of Accounts for the year ending 31 Dec on the day of the meeting.
1.4 Immediately after the opening of any of the above meetings, the minutes of the previous meeting, and any extraordinary meeting which was held since the previous meeting may be read by the Secretary or circulated to all members.
1.5 After confirmation, the Minutes are to be signed by the President and Secretary, and with any attachments, scanned and filed on the CHPRSL ‘Z’ drive.
2. ELECTION OF OFFICERS
2.1 Executive and Members of the Committee will be elected at the Annual General Meeting every three (3) years.
2.2 All Members that are nominated for a position on the Executive, being the President, Senior Vice-President, Secretary or Treasurer, MUST have served in the Australian Defence Force (ADF).
3. AUDIT COMMITTEE
3.1 An authorized registered Auditor Company shall be appointed at the Annual General Meeting and shall audit the accounts for the year ending on the 31st December.
4. NON-PROFIT STATUS
4.1 The property and income of the CHPRSL Sub Branch shall be applied solely towards the promotion of the objects of the Sub Branch and no portion thereof shall be paid or transferred directly or indirectly by way of dividend, bonus or otherwise by way of profit to the members. Nothing herein shall prevent the payment in good faith of remuneration to any member in return for any services rendered to the Subbranch.
5. ALTERATION OF THESE RULES
5.1 Notice of Motion to add or alter these Rules shall be delivered to the Secretary 21 days prior to the next Member’s Meeting or Annual General Meeting.
5.2 Particulars of the proposed additions or alterations shall be inserted in the Notice of Motions for the next meeting.
5.3 Additions or alterations to these Rules shall only be valid and effective when:
(a) the Notice of Motion is duly passed at such meeting by a majority of the members present, and
(b) The Motion has been ratified and signed off by the Sub Branch President.
